Shift: (09:00 to 05:00 PM) from Sunday to Friday
Position Overview:
As the Executive Assistant to the CEO and other Executive Committee members, you will be instrumental in supporting the leader and the team. You will enjoy working in a fast-paced environment with an ability to adapt quickly to changing needs and priorities. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts, and oversees special projects. You will build relationships cross functionally and externally on behalf of the CEO and act as their first point of contact. A high level of discretion is required as you frequently handle confidential and sensitive information.
Roles and Responsibilities

  1. Provide sophisticated calendar management for Directors. Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements.
  2. Complete a broad variety of administrative tasks that facilitate the Director’s ability to effectively lead the organization, including assisting with special projects; designing
    and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
  3. Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Director, including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the Director’s style and organization policy.
  4. Work closely with the Director to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  5. Maintain open communications with the Manaram team, including meeting regularly with their operations and technology coordinator and providing information and documents as needed.
  6. Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed.
  7. Work with the Executive Team to coordinate the Director’s outreach activities. Follow up on contacts made by the Director to cultivate ongoing relationships.
  8. Invest in building long lasting relationships both externally and internally.
  9. Performs other duties as assigned by the line manager.

Skills and Qualifications

  • Task Related
  1. Bachelor’s degree completed with specialized training.
  2. 3 plus years of executive support experience, experience working in a FMCG company is highly preferred.
  • Competencies and Soft Skills
  1. Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
  2. Strong ability to execute work with a diversity, equity, and inclusion lens
  3. Excellent verbal and written communication skills in English.
  4. Demonstrated approach to problem-solving with strong decision-making capabilities
  5. Make appropriate, informed decisions regarding priorities and available time.
  6. Ability to complete a high volume of tasks and projects with little or no guidance.
  7. Ability to react with appropriate levels of urgency to situations and events that require a quick response or turnaround.
  8. Able to maintain a high level of integrity and discretion in handling confidential information.
  9. Excellent judgment is essential.
  10. Ability to switch gears at a moment’s notice.
